Richter+Frenzel Optimizes Procurement Processes with FIS/edc Cloud for Order Responses and Shipping Notifications

FIS Informationssysteme und Consulting GmbH supported Richter+Frenzel in the implementation of cloud-based solutions for order responses and shipping notifications. The project was carried out as part of the SAP S/4HANA transition and replaced existing on-premises solutions with advanced SaaS applications on the Business Technology Platform by FIS.
The move to SAP S/4HANA quickly made it clear that the previous solutions, some of which had been developed internally, could no longer meet the requirements. Despite OCR support, order responses often still had to be reprocessed manually, shipping notifications arrived late or incomplete, and central data retention was missing. Richter+Frenzel, one of the leading wholesalers for HVACR, civil engineering and tools trade with 190 locations and around 4,500 employees, therefore needed a fully automated and scalable solution.
»FIS has a great comprehension and knowledge of wholesale processes so that we do not have to explain everything any longer,« emphasizes Andreas Kunz, Head of Inventory Management and CIP at Richter+Frenzel. The implementation project started in October 2024, with pilot operation at three locations beginning in June 2025. The pilot project was completed at the end of February 2026; the company-wide rollout is currently being prepared.
The new solutions are provided as software-as-a-service via the Business Technology Platform (BTP) by FIS and are connected directly to the SAP S/4HANA system via a cloud connector. Incoming order responses, whether received by e-mail, PDF or EDI, are automatically read, processed using AI models and assigned to the corresponding purchase orders in the SAP system. Deviations in article numbers, quantities, prices or delivery dates are displayed specifically to the procurement team. »The learning capability of the system is excellent. We only have to show the system once or twice at what place the necessary information is found within the document and then it will know it for the future,« explains Alexander Braun, operational employee in procurement.
Manual entry is also no longer required for shipping notifications: documents are processed automatically and made available to employees in real time. As a result, logistics knows early on which goods will arrive and when. This accelerates the flow of goods and makes the goods receipt process smoother. Currently, 70 employees are working with the new solutions; acceptance is high, not least because the user interface follows the SAP Fiori design concept.
The project shows how close partnership-based cooperation and deep process understanding on the provider side can reliably move even complex procurement landscapes in wholesale trade to the cloud.
