A WMS is typically used over many years. Accordingly, it must not only map current warehouse processes, but also flexibly accommodate future developments such as automation, new storage technology, or altered order structures. Beyond pure functionality, key factors therefore include integration capabilities, interfaces, maintenance, licensing models, and long-term partnership with the vendor.
Fraunhofer IML has been operating the vendor-neutral platform »warehouse logistics« since the year 2000. There, diverse logistics IT systems—including WMS, TMS, RPS, and MES—are structured and made objectively comparable. The functional specifications of the systems and the characteristics of the vendors are validated annually by experts from Fraunhofer IML. This provides companies with a resilient data foundation for a transparent and traceable system selection.
A structured WMS selection process spans four essential phases from the initial inventory assessment to successful implementation: analysis, concept, tendering, and realization.

A classic selection process begins with an in-depth analysis of existing warehouse processes. Through targeted warehouse inspections and workshops, material flow, organization, IT structures, and specific optimization potentials are systematically recorded. Precise BPMN process documentation and a comprehensive potential analysis generate a clear picture of the current process landscape.
In the concept phase, the analyzed processes are translated into concrete system requirements. Based on the defined functional scope and the future target process design, a detailed functional specification (Lastenheft) is developed that describes exactly what the future WMS must deliver. Via benchmarking using the »Logistics IT Online Selection«, weighted requirements are matched against system functions, knock-out criteria, and vendor-specific parameters. The result is a clear ranking of suitable systems alongside a qualified longlist of potential WMS vendors.
The tendering phase serves to narrow down the pool of candidates from the longlist to a focused shortlist of WMS vendors. Through a systematic comparison of proposals, the solutions are objectively contrasted. Following vendor presentations, these are thoroughly evaluated to ultimately provide a resilient and well-founded award recommendation.
In the realization phase, the project is transitioned from theory into practice. Based on fine-grained coordination, the technical specification (Pflichtenheft) is revised and finalized. Close monitoring of commissioning follows in order to minimize risks during go-live. Professional testing and acceptance support ensures that the installed WMS fulfills all agreed functionalities and supports warehouse processes smoothly.
