The team warehouse logistics helped the company PAREXEL International GmbH (PAREXEL) to prepare the tender documents for a warehouse management system (WMS) and assessed the incoming bids. PAREXEL International GmbH is the German subsidiary of PAREXEL International Corporation with headquarters in Waltham (Boston), Massachusetts, USA. With more than 50 locations and about 6,500 employees PAREXEL is one of the world's leading ordered research institutes in the pharmaceutical field.

Motive and goal
Because of a rapid growth PAREXEL developed a new warehouse location to further meet all customer requirements. In this context the up to now document-based processes should be optimized.

For this reason, a qualified WMS provider had be found whose software optimally supports the logistic processes from goods receipt up to goods issue and whose business structure and knowhow regarding pharmaceutical projects best meet the requirements of PAREXEL.

Definition of requirements and preselection of providers
At first, the warehouse processes as well as the material and information flows at the warehouse location in Berlin were discussed with PAREXEL during a workshop. Based on the 3.500 single aspects of the questionnaire of the "International Market Survey WMS" the team warehouse logistics then developed a requirements profile. By means of a data request the team checked those aspects which according to PAREXEL's requirement profile were important for the system selection. Based on the results the team warehouse logistics selected ten suitable WMS providers and asked them for specific information, as agreed upon with PAREXEL. After having processed these data the team together with PAREXEL selected three potential providers during another workshop.

Call for and comparison of bids
Finally, the team warehouse logistics prepared the tender documents for these providers. Thanks to the clearly specified offer structure these documents allow for the objective comparison and evaluation of the offers regarding price, support and functions. The main part of the tender documents is the performance specification which summarizes the current and future requirements which PAREXEL puts on its new WMS.

Finally, the team warehouse logistics compared all incoming bids and summarized the results in a document which lists all important criteria, like costs, functions and project schedule and thus serves as basis for PAREXEL's decision.

Result
The results of the consulting by the team warehouse logistics are:

  • A function requirement specification clearly describing all requirements
  • Tender documents which allow for an efficient comparison of the bids submitted by the WMS providers
  • A comparison of bids to assess and document the bids
