Specification of the functional and company-specific requirements of a future WMS

Team warehouse logistics was commissioned by PLASSON GmbH (PLASSON) to create a tender document for the selection of a future WMS vendor.

Project Initiation and Goals

PLASSON is the German subsidiary of PLASSON Ltd., Israel. PLASSON imports, stores and sells coupling technology for plastic pipes for the water, gas and sewage industries.

The reason for the implementation of a new Warehouse Management System was the replacement of the paper-based processes during the initial installation of a WMS at their Wesel location. The goal was to define the requirements for the new WMS in a tender specification document, which would form the basis for the selection of a tested and sustainable WMS. The challenge lay in the efficient execution of the specified tasks within a tight schedule.

Requirements Definition

Team warehouse logistics provided PLASSON with a questionnaire that was used to capture the key performance indicators of the warehouse as well as the specific requirements for the WMS. In the first step of the project, Team warehouse logistics performed an extensive inspection of the warehouse. The focus of the inspection was on capturing the current processes. Through discussions with the relevant department heads at PLASSON, Team warehouse logistics was able to define the requirements for the new WMS.

Team warehouse logistics performed a weak point analysis in the second step of the project. This analysis involved examining the potential for improvement of all of the relevant WMS data that was captured initially – in particular the possibility of transitioning from paper-based to paperless warehouse management. The improvement opportunities that were identified as a result of the weak point analysis were incorporated into the creation of the target concept. All of the processes that support the WMS were described in the target concept in terms of their potential for improvement – from goods receipt to goods issue. Team warehouse logistics presented and fine-tuned the target concept during a workshop with PLASSON.

In the third and final step, Team warehouse logistics created the tender document based on the findings of the capturing of the functional requirements as well as the functional target concept. It defines the functional scope of the future WMS. The tender document was finalized and approved during a workshop with PLASSON.

The results of this study is a tender specification document that defines

  • the current and future functional requirements for a WMS
  • the company-specific requirements for a WMS vendor
